Year on year we see vendor frustration over unspent co-op and MDF that they have worked hard to secure for partners. We also see solution provider and VAR frustration at unpaid claims due to lack of understanding of claim requirements or difficulties in claiming funds. Managing co-op isn't as easy as it sounds. Every vendor has a different system with some operating sophisticated online tools and others using rarely updated spreadsheets. There is no defacto standard for what counts as a qualifying activity, the length of co-op fund validity, the evidence required or the payment terms from the vendors.

For clients with different subsidiary offices this poses even greater challenges due to different currencies and there is often an inability for the business to get a central view of its co-op funds across all regions. We have developed our own web-based system called ONCO to manage this for our clients giving them the ability to see a full break down of co-op by vendor, by region and by expiry date, whilst also giving the local countries visibility of their local co-op. We store all of the related documentation for each and every request and claim in this system so you can drill into the detail and see the latest status.

We start by working with you and your vendors to get a very clear understanding of how co-op works and once clarified will help you develop plans for qualifying campaigns and then raise the requests for you, handle the claims, provide all the necessary evidence and perhaps most importantly - ensure your claims get paid.

Our co-op management experience covers all the major hardware vendors in the Auto ID industry including Motorola, Intermec, Honeywell, Datamax-O'Neil, Psion Teklogix, Zebra, Toshiba TEC and M3. Within the document management sector we have direct experience of working with Kodak, Panasonic, Fujitsu, Canon, EMC and Nuance, in addition to a number of smaller software vendors.
